Job Title:             Planning, Monitoring and Documentation Officer

Purpose of the Post

An enthusiastic individual who has a good understanding of all aspects of documentation and communication as well as knowledge of publication. She /He will also be expected to assist other members of the team as and when necessary in the delivery of planning, monitoring, documentation and communication, and will assist in maintaining and supporting documentation/communication systems and services across the department.

Direct Supervisor: Case Unit Coordinator

Overall accountability: Executive Director

Supervisory Responsibilities: None specified

Duties and Responsibilities – Planning, Monitoring and Documentation Officer

  1. Work in close with Executive Director, Case Unit Coordinator/ Province coordinator and program team for Planning, Monitoring, Documentation and publication/communication
  2. Carry our all documentation work especially case documentation /case sheet etc and monthly quarterly report needed for progress report,
  3. Prepare E-Newsletters, progress reports, annual reports in support with program staffs & volunteer.
  4. Undertake necessary documents, reports for publication and upload to the web for wider dissemination.
  5. Design and Layout the publication for use of wider audience
  6. Updates frequently website with necessary contents provided by the program team and/or program coordinator/advisor.
  7. Prepare necessary maintenance of the publications as e-copy/hard copy for resource center
  8. Liaises with software suppliers on the development of system enhancements to overcome known problems or further fulfill user requirements.
  9. To carry out any other reasonable duties and responsibilities within the overall function, commensurate with the grading and level of responsibilities of the post.
  10. Report to the line manager for necessary updates in time.

Above mentioned tasks are job specific and should not bound within the specified periphery. Your service to the organization could be as and when required. She/ He might visit working areas to support program team for necessary case document/case work and write reports.
