Receptionist/Admin Associate
Position: Receptionist/Admin Associate
Location: FIAN Nepal Central Office, Kathmandu
Reporting to: Admin & Finance Officer
Objective of the Job:
To provide good quality of receptionist & resources center support to FIAN Nepal Office and its project/program and run switch board smoothly
- Telephone handling:
- Receive telephone calls and forward to the concern person or department.
- Receive general telephone calls and answer them.
- Taking telephone messages and forward to the concern person.
- Receive Visitors:
- Greet visitors promptly and politely.
- Give general information to visitor(s) if asked.
- Allow visitor (s) to sit in the sitting place and wait for the person they want to see. Immediately inform the concerned person about the visitor’s arrival.
- FIAN Nepal Telephone Tree & Directory:
- Develop & maintain FIAN Nepal telephone directory up to date by making changes according to notes received and by daily checking for change of phone numbers of other offices who are on FIAN Nepal telephone list.
- Prepare and update FIAN Nepal telephone tree & directory & send to all staff member when changed.
- Resource Center & publication:
- Manage and update resource Center by collecting Right to Food & Food Sovereignty related publications and organizational report.
- Maintain and update incoming & out going every letter & documents.
- Maintain record of resource center & own publication, book & materials regularly
- Search daily news papers related with RtF and ESCR publication and maintain News Cutting records file.
- Support in Administration
- Maintain leave records of all staff and send three monthly leave report to Administrative and Finance Officer
- Collect monthly time sheet of all staff, tally with leave record and submit to Admin and Finance Officer
- Receive travel authorization from staffs and get signature from the Programme Coordinator/Director
- Others:
- Help labeling addresses and packing the training material, letters and parcels.
- Help photocopying and faxing and send to concern team/person when necessary.
- Assist to English and Nepali typing work when necessary.
- Report to the supervisor if any problems arise in the reception area.
- Liaise regularly with supervisor any other concern staff.
- To do any ancillary work requested by the Supervisor & ED
Specific qualifications and job competencies
Specific qualifications
- Minimum Intermediate degree in any subjects with at least two year working experience as a receptionist in development organizations.

- Practical knowledge basic computer program operation and email and internet
- Clear communication skill in both English and Nepali
- Smart, energetic and pleasant personality
- Knowledge of book cataloguing and maintenance
- Have a learning attitude
